Privacy Policy

1. Information we keep

• College records: your name, roll number, course, year, group, section and hall ticket number, as given by the college office.
• Contact details: your mobile number, your parent's mobile number and your email address, if you or the college add them.
• Sign-in photos: a photo taken with your camera when you sign up and each time you reset your password. It is used to check that the right person is using the account.
• Sign-in history: the date and time, IP address and type of device for each sign-up, password reset and sign-in. When you sign up or reset your password, your phone is asked for its location; if you allow it, the location is saved with that entry.
• Your work: the PDFs and files you upload, the text the portal reads from them to check for copying, the marks given and the teacher's comments.
• Test marks: slip test, unit test and pre-final marks entered by your HOD or the Placement Cell.
• Placement profile: the details you add for placement drives (for example skills, links, resume and offer letters) and the drives you register for.
• Lab proof: photos of the lab taken by class representatives to show that a lab session took place.
• Notifications: if you turn on notifications, your browser gives the portal an address to send them to.

2. Why we use it

• To let you sign in safely and to stop other people from using your account.
• To give you your college work, mark it, and show you your marks and the reasons for them.
• To find copied work and work that does not belong to the task.
• To share placement drives with eligible students and to keep a record of placements.
• To send you reminders about last dates, exams and labs.
• To keep the portal secure, and to look into misuse.

We do not sell your information and we do not use it for advertising.

3. Who can see it

• You can see your own work, marks, notifications and placement profile.
• Your HOD can see the students of their own department.
• The Placement Cell and the Principal can see all students.
• Lab in-charges see the lab schedule and the lab proof for their own lab.
• Companies may receive your name, course and placement profile when you register for one of their drives.
• On the public placement page, students whose job offer has been verified are shown by first name, initial, course and company only.

Every staff action that changes marks or records is logged with the staff member's name.

4. Where it is stored

The portal and its files are hosted on servers rented from Hostinger. Uploaded files are not public: each file is only shown to the student it belongs to and to staff allowed to see it. Notifications pass through your phone's own push service (Google or Apple) on the way to your device. No other outside service receives your information.

The portal uses one cookie to keep you signed in. It does not use advertising or tracking cookies.

5. How long we keep it

We keep your records while you are a student of the college, and afterwards for as long as the college needs to keep academic and placement records. Sign-in photos and sign-in history are kept to check for misuse of accounts.

6. Your rights

Under the Digital Personal Data Protection Act, 2023 you can ask us:

• to tell you what information we hold about you;
• to correct information that is wrong or incomplete;
• to delete information that we no longer need to keep;
• to explain a decision about your work or your account.

Write to placements@raosinstitutions.com or meet the Placement Cell. We will reply within 30 days. If you are not satisfied with our reply, you can complain to the Data Protection Board of India.

7. Changes to this policy

If we change how the portal uses your information, we will update this page and tell students through the portal.
